What is personal data

Under the EU’s General Data Protection Regulation (GDPR) personal data is defined as:

“any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person”.

The GDPR provides that special categories of data relate to the “processing of personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning a natural person’s sex life or sexual orientation”.

What personal data do we collect?

RDP Access Control does not collect any special categories of personal data.

Our websites and informational and marketing materials are intended for use by business users. Business contact information and online usage data is collected through the following channels:

  • Information given directly by you

When ordering or registering on our site or in order to use certain site features, you may be asked to enter your business contact details including your company name and/or website, full name, business e-mail address, corporate postal address and business phone number, in order for us to provide you with the services offered by this site and to enable you to report a problem with the site. Save for such circumstances described, you may visit our site anonymously.

  • Information we obtain

We also keep track of your corporate IP address and we collect information about your visit, such as how you interact with our site, how long you spend on each page and the page response times, any error information and your clickstream to, through and from our site. For example, we use services to understand how you and other users navigate around the pages on our site. Our analysis is available in aggregate and information collected is not used to target individuals. We will collect information using cookies to monitor usage metrics and we store the cookie data on our partner’s platform to allow us to perform our analysis.

We may also obtain the domain name and operating system of the computer with which you access our site as well as the type of browser you use. This information is automatically processed and obtained through the use of Cookies, and only as necessary in order to enable us to carry out your requests and to be able to provide you with the services you require.

Why do we process the data?

RDP Access Control will process (collect, store and use) the information you provide in a manner compatible with the EU’s General Data Protection Regulation (GDPR). This privacy notice tells you how we, RDP Access Control, will collect and use your business contact information and related data.

The information that you provide to us, we collect from you,  is primarily used to provide you with the products and services you are requesting and hence for us to fulfil our obligations and process the sale transaction to which you are party to.

Moreover, we may collect information from you through the use of Cookies to enable us:

In any event, we are committed to ensuring that the information we collect and use is appropriate for this purpose, and does not constitute an invasion of your privacy.

Where do we store the data?

The data that we collect from you may be transferred to, and stored at a destination inside the European Economic Area (“EEA”). It may also be processed by members of staff operating inside the EEA who work for us. Such members of staff may be engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting this data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and the General Data Protection Regulation.

Will RDP Access Control share the data with anyone else?

We may transfer your data to third-party service providers contracted to RDP Access Control, such as affiliates (for example, payment processors, data hosts and service providers) in the course of dealing with you. Any third parties that we may share your data with are obliged to keep your details securely, and to use them only to fulfil the service they provide you on our behalf. When they no longer need your data to fulfil this service, they will dispose of the details in line with RDP Access Control procedures.

Any information you choose to post on our blogs or forums or on our social media sites becomes public, which means it could be read, collected and used by others in any manner. We have no responsibility or liability for any information you choose on submit on these sites.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

What steps have RDP Access Control to safeguard the data? (Information security)

We work hard to protect our users from unauthorised access to or unauthorised alteration, disclosure or destruction of information that we hold. We implement a variety of security measures to maintain the safety of your information when you place an order. In particular:

  • We offer the use of a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our Payment gateway providers’ database only to be accessible by those authorized with special access rights to such systems, and are required to keep the information confidential.
  • We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorised access to systems.
  • We restrict access to information to RDP Access Control employees, contractors and agents who need to know that information in order to process it for us and who are subject to strict contractual confidentiality obligations. They may be disciplined or their contract terminated if they fail to meet these obligations.

We have also taken the necessary steps to ensure that our third-party processors who provide data hosting services or otherwise process data on our behalf, have sufficient safeguards in place to protect your data. In carrying out this assessment, we consider the extent of data transmitted. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

How long we retain your data

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We will endeavour to keep your information accurate and up to date, and not keep it for longer than is necessary. The data will only be retained for as long as necessary to carry out the processing activity for which the data was collected. In setting the retention period, RDP Access Control also take into consideration their legal obligation to retain information in accordance with the law, such as information needed for audit and taxation purposes.

What rights you have over your data

 If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

At any point while we are in possession of, or processing the data, you have the following rights:

  • Right of access – you have the right to request a copy of the information that we hold about you.
  • Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
  • Right to be forgotten – in certain circumstances, you can ask for the data we hold about you to be erased from our records.
  • Right to restriction of processing – where certain conditions apply, you have a right to restrict the processing.
  • Right of portability – you have the right to have the data we hold about you transferred to another organisation.
  • Right to object – you have the right to object to certain types of processing such as direct marketing.
  • Right to object to automated processing, including profiling – you also have the right to be subject to the legal effect of automated processing and profiling.
  • Right to judicial review: in the event that RDP Access Control refuses your request under rights of access, we will provide you with a reason as to why. You have the right to lodge a complaint to the Supervisory Authority.

All the above requests may be forwarded, if applicable, to third party processors involved in the processing of the data, as previously listed.

Complaints

In the event that you wish to make a complaint about how the data is being processed by RDP Access Control, or how your complaint has been handled, you have the right to lodge a complaint directly with RDP Access Control by sending an email to info@rdpaccesscontrol.com.  You also have the right to lodge a complaint directly with your local Supervisory Authority.
